Cancellation Policy

1. Booking & Deposit • A retainer deposit of 50% of the total booking fee is due at time of reservation. This deposit is non refundable. • Full payment must be received 30 days before the event date. No refunds after that—unless Hartland Oaks must cancel due to weather, roadway issues, or donkey illness. 2. Reservation & Communication • Booking begins with a consultation through Mariah Hart, Director of Marketing and Experience, gathering all key event details and points of contact. 3. Services & Timing • Beer burros (miniature donkeys) will arrive one hour before your scheduled start time for setup and preparation. • They can participate in any segment of your event: arrival, cocktail hour, rehearsal dinner, reception, or surprise guest appearance. 4. Animal Care & Capacity • Burros are assigned in pairs (e.g. Prince & Lilah) to suit their social nature—they prefer to work together. • Handlers manage cleanliness with “bun bags” to prevent messes during service. 5. Alcohol & Beverage Handling • All alcohol, ice, cups, or additional beverages must be provided by you or your venue. • Burro handlers are not bartenders; they only serve cans/bottles that are already prepared and should not open containers. 6. Insurance & Liability • Hartland Oaks is covered under general liability insurance. • Clients must agree to a liability release covering standard risks associated with live animals. 7. Cancellation & Weather Policy • If cancellation occurs due to inclement weather, unsafe roadway conditions, or donkey illness, a refund or rescheduling may be offered at Hartland Oaks discretion. 8. Booking Timeline & Availability • Hartland Oaks often books many months in advance due to high demand. Popular dates can fill up early, so it’s wise to reserve at least 6–12 months ahead.
